Policies
Admission Policy:
The Kids' Club accepts children ages 6 weeks to 12 years old. To enroll your child we require that the parent and child complete a pre-admission tour of the center and parents/guardians must have a pre-admission conference. Upon enrollment, required paperwork must be completed. We accept DHHR subsidized care certificates, Ohio Job and Family Services Subsidized care, and private pay. Attendance Policy for Preschool:
This policy is also listed on the Preschool page. Attendance procedures for the Preschool program will follow the same format as the K-12 attendance policy as follows:
- Excused Absences are considered medical appointments, parental notes (5 per half year) and similar legitimate reasons as defined in the attendance codes (provided in the packet given to you when your child was accepted into this program).
- Unexcused Absences are considered as those not meeting the excused absence reasons listed in the attendance codes.
- Absence - If a child is going to miss school for the day, it is recommended that the parent or guardian call the school to inform the teacher the student will be absent that day. Written verification of the student's absence should be sent upon their return to school.
- Written excuse - If a child is absent, it is the duty of the parent or guardian to produce the excuse on the day of the student's return to school. If no excuses are provided, the absence will be considered unexcused.
- Parent Notes - Parents may write 5 parental notes per half year of school. After 5 parental notes, a parent note is considered an unexcused absence. A medical excuse or doctor's note must be provided if the child is ill.
- 5 Days of Unexcused Absence - If a student misses 5 days of unexcused absences, parental contact will be attempted through written notification sent home with the student, a phone call, or other means of communication to correct the reasons for these absences.
- 10 Days of Unexcused Absence - After 10 unexcused absences, a SAT meeting may take place and the child may be disenrolled.
- Disenrollment - Once a child is disenrolled, re-enrollment is not guaranteed.
Cancellation or Delay Policy:
The Kid's Club Daycare is open during school closings unless a state of emergency has been declared. Preschool and Nursery School will follow the Ohio County Schools schedule. See the Daycare, Preschool and Nursery School pages for more information.
Child Abuse and Neglect Policy:
The Kids' Club reports immediately, in accordance with WV Code 49-6A-1 et seq., any suspected incident of child abuse and neglect the director or designated person-in-charge, and to Child Protective Services; or when the staff member believes that the director or designated person-in-charge would not or has failed to report the suspected incident, to the Child Abuse Hotline, 1-800-352-6513.
A statement is posted at the center in clear public view stating that we report suspected child abuse and neglect to Child Protective Services.
Child abuse and neglect is any physical injury, mental or emotional injury, sexual abuse, sexual exploitation, the sale of or the attempted sale, or negligent or maltreatment of a child by a parent, guardian or custodian responsible for the child's welfare.
Holiday Policy:
The Kids' Club Daycare is closed on the following holidays:
- New Year's Day
- Easter
- Memorial Day
- Fourth of July
- Labor Day
- Thanksgiving Day
- Christmas Day
Any additional closings will be announced as needed. Preschool and Nursery School will follow the Ohio County Schools schedule. See the Daycare, Preschool and Nursery School pages for more information.
Children will not be permitted to attend The Kids' Club when:
- Child has a fever.
- Child has diarrhea and/or vomiting.
- Child has any communicable disease.
If a child develops any of these symptoms while at The Kids' Club, the parent/guardian will be contacted and the child will be sent home. The child will be permitted to return when:
- Child has been without fever for 24 hours.
- Symptoms are not longer present, or
- Written permission from a doctor.
In the event of a MINOR medical emergency, The Kids' Club will immediately contact the parent/guardian. If they cannot be reached, an emergency medical squad may be called to treat the child and/or transport them to a medical facility.
In the event of a MAJOR medical emergency, an emergency squad will be called immediately to treat and/or transport the child to a medical facility. The parent/guardian will be contacted following the call to the emergency squad.
Parents/guardians are responsible for all fees charged for emergency medical services.
All policies as listed above and other policies not listed here are given to parents/guardians at the pre-admission conference.
